Mentorship Guidelines
(Applicable from the Academic Year 2015-16 onwards)
Philosophy
Apart from academic leadership in the classrooms, the role of the faculty also includes supporting and mentoring the students to take informed and ethical decisions in their life. Mentoring is a strategy to provide students with emotional and instrumental support they need to achieve learning goals.

Objectives
1. To help students adjust academically & socially at the University.
2. To build a trustworthy and accountable relationship between faculty and the students.
3. To focus and motivate students to achieve learning goals and thereby improve their academic performance.
4. To generate interest in academics and other institutional activities amongst students.
5. To provide time to time counseling at various stages of student life.
At Lovely Professional University (LPU), Division of Student Relationship (DSR) is responsible for ensuring that mentorship policy is followed truly both in letter and spirit. The mechanism of mentorship policy followed here at LPU is elaborated in following sections.

Elements of Mentoring Policy
Under mentoring programme certain important aspects have to be dealt with. They are:
1. Categorization of Students
2. Allocation of Mentors
3. Identification of mechanism to aid students

1. Categorization of Students
This is done on the basis of CGPA of Students
Category 1: Students with CGPA <= 5
Category 2: Students with CGPA > 5

2. Allocation of Mentors
The mentees will be assigned to the mentors by the Head of School (HOS). Each mentor will have a set of students of both categories (Category 1 & Category 2)

3. Identification of mechanism to aid students

3.1 Mechanism for Category 1 Students
I. Every mentor will meet every mentee of Category 1 at least once in a month. The mentor can meet his/her mentee more than once in a month if required.
II. If any mentee wishes to meet the mentor more than once in a month, he/she can take a prior appointment from the mentor through an online interface.
III. The mentor will punch a separate time slot for every mentee for every month of a minimum half an hour in the provided Student Counseling Interface by following the link mentioned: UMS Navigation->Division of Student Relationship->Student Counseling Interface
IV. The Meeting slot with the mentee should be punched at least 2 days before the meeting. The Punched slot of the meeting will also be visible to the mentee on UMS.
V. In every meeting, the mentor will punch the attendance of the mentee in the Interface.
VI. Mentor has to fill the month wise agenda of every mentee on the given Interface. Mentor will also record the issues raised by his/her mentee in the same interface Link mentioned in point number (3).
VII. Mentor will take care of various issues of mentee like attendance, reappear registration, backlog registration, timely fee submission, remedial class registration, academic performance, etc.
VIII. Calling to parents of these students will be done on monthly basis by mentor only, to inform the parents about student’s attendance, academic status, etc.
IX. This will be the sole responsibility of the mentor to resolve issues of his/her mentees with the support of School Academic Counselors, Head of Department (HOD)HOD/ Coordinator of the Department (COD), HOS, and Central Divisions.
X. The Mentor must ensure to maintain the confidentiality of the mentee’s - sensitive/personal issues.

3.2 Mechanism for Category 2 Students
I. If any mentee from Category 2 wishes to meet the mentor, he/she can take a prior appointment from the mentor through an online interface available on the UMS portal of Student

II. Reach out telephonically to the parents/guardians if student’s attendance falls below 75%, and the same process to be followed on monthly basis by the mentor communicating to the parents/guardians about student attendance, academic status, indiscipline cases reported (if any), etc.
III. These calls will be punched in the mentor’s account from the backend and will be made visible under Examination Tasks.
IV. Mentor will punch the data after a telephonic conversation with the parents in the provided Mentor Calling interface at the link mentioned below:

V. This will be the sole responsibility of the mentor to resolve issues (academic or nonacademic) of his/her mentees with the support of School Academic Counselors, HOD/COD, HOS, and Central Divisions.
VI. The Mentor must ensure to maintain the confidentiality of the mentee’s - sensitive issues / personal issues.
